Create Quick Links

Before creating quick links, verify the steps outlined in Quick Links Security have been followed.

There is no limit to the number of quick links that can be added. To conserve space, if the number of non-hidden links (refer to Hide or Show nks for more information) plus the number of group headers is greater than 15, the groups are hidden in order of the largest number of items, until there are less than or equal to 15 items total. A consolidated group always appears at the top of the list, regardless of priority.

There are three ways to create quick links:

  1. As the logged in user (performed by the logged in user)

  2. By security role (performed by a manager)

  3. By user (performed by a manager)

Show Quick Links Icon

To manage and navigate to quick links, the quick links feature must be enabled. Enabling this feature adds a new Quick Links icon to the Site toolbar, which is available even when there are no links defined.

The user who is using the quick link must log in to the Stewardship Tier and follow these steps to display the Quick Links icon.

NOTE: These steps must be followed regardless of how the quick link is created (either by the logged in user or by a manager creating a quick link for the user or for a security role).

To show quick links:

  1. Click Gear icon on the Site toolbar.

  2. Click Preferences.

  3. Enable Show Quick Links check box; the Quick Links icon displays on the Site toolbar.

Create Quick Links as the Logged In User

Quick links are essentially book marks.

Create a quick link to book mark a page following the steps below. Any filtering, binding and shared criteria is saved as part of the quick link so that when the link is accessed, the user is returned to the page in the same state as it was when the quick link was created. Row selection or other content-specific actions are not saved.

To create a quick link:

  1. Enable Show Quick Links. Refer to Show Quick Links Icon for detailed information.

  2. Navigate to the page within the component to book mark as a quick link.

  3. Click Quick Links icon on Site toolbar.

  4. Click Add Current Page.

  5. Enter the order in which quick link displays on the Quick Links page in Priority field.

  6.  Enter a name for the quick link in Label field.

  7. Click Save.

Create Quick Links by Role

A user, typically a manager, can create a quick link for a specific security role. This process pushes the quick link to all users assigned to the security role, giving them access to the link under the Quick Links icon when they log in. Users assigned to the security role can then hide or modify the quick link that was created for them as needed, but cannot delete it. Any changes to the quick link, such as the label, priority, image, etc. do not impact the quick link for other users assigned to the security role.

There are a few reasons a manager would create a quick link for a role:

  • Allow users who do not have security to create a quick link to receive a quick link

  • Make users aware that the quick link was created

To create a quick link by role:

  1. Select Admin > Customization > Site Customization in the Navigation pane.

  2. Click By Role.

  3. Click Quick Links for the security role name.

    NOTE: If a record does not exist, the page displays in Add mode. Otherwise, click Add.

  4. Enter order in which quick link displays on the Quick Links page in Priority field.

  5. Select a page to be saved as a quick link from PAGE ID list box.

    NOTE: Pages display in this list box if the Allows Explicit Quick Link check box is enabled for the page. Refer to Allow a Quick Link to be Created for a Page for more information.

  6. Select an image from IMAGE ID list box to add an image to the Label.

    NOTE: The Image ID list box is managed under Admin > Configuration > Style > Images. Contact a Site Administrator to add an image to the list.

  7. Select a group from GROUP list box or enter a new group name and click Use this value to assign the quick link to a group as a means to organize links.

  8. Enter a name for the quick link in LABEL field.

  9.  Click Save; the Vertical View displays.

  10. Click Save.

Create Quick Links by User

A user, typically a manager, can create a quick link for another user. This process pushes the quick link to the user, giving them access to the link under the Quick Links icon when they log in. Users can then hide or modify the quick link, but cannot delete it. Changes made to the quick link, such as the label, priority, image, etc. do not impact the quick link assigned to other users.

There are a few reasons a manager would create a quick link for a user:

  • Allow users who do not have security to create a quick link to receive a quick link

  • Make users aware that the quick link was created

To create a quick link by user:

  1. Select Admin > Customization > Site Customization from Navigation pane.

  2. Click By User.

  3. Click Quick Links for a user ID.

    NOTE: Icon count is the total of quick links assigned to the user plus quick links assigned to the security role to which the user belongs.

    If no records exist, the page displays in Add mode. Otherwise, click Add.

  4. Enter order in which quick link displays on the Quick Links page in Priority field.

  5. Select a page to be saved as a quick link from PAGE ID list box.
